Internet Explorer 7 is used for illustration purposes in these instructions.
Using other supported web browsers should allow one to follow the same steps.

A. Connecting to WebVPN

Upon meeting all requirements for WebVPN, launch your web browser and enter the URL https://webvpn.uhmc.sunysb.edu in the address field and press the [Enter] key.

You will be presented with the webpage shown below.

  • In the UHMC Username field, type your UHMC Domain username.

  • (Please do not enter "UHMC\" in front of this name)

  • In the Domain Password field, type your UHMC Domain password.
  • Clicking on the Need help? link will bring you to these directions.
  • Finally, Click the Sign In button to proceed.

If, after logging in, you see a yellow message bar show up on your browser that looks similar to the one below, the VPN is trying to install a small helper application. Please right-click on the bar and then left-click on the menu item "Install ActiveX Control".

You will then see a window that will ask if you wish to install this software. This software is not harmful, but we also want to be sure it does not ask you this question again, so please click on the "More Options" button as shown below.

The window will change and offer the options listed below. Please check the item for "Always install software..." and then click the "Install" button to continue.

 

B. Main WebVPN Page

After logging in, two windows will open, one that is shown directly below and another smaller window that will be discussed in the next section.

The main page is what will be used most. As shown below there are several areas to this screen that perform different functions. See the listing below for a description of each.

Web Bookmarks

Starting from the left, these links are called bookmarks and are published for you to make navigation to popular sites easy. Simply click on any of these links to proceed to this site. In another section you will learn how to add your own bookmarks.

Navigation Bar

On the top right is the Navigation Bar that provides easy access to the following:

  • Home - Brings you back to this main page.
  • Preferences - Will allow you to change some usability settings such as page layout.
  • Help - Will present a Help Page with very detailed information on advanced functions of the WebVPN (beyond even the scope of this page).
  • Sign Out - Will log you out of the WebVPN.

Address Bar

Just below the navigation bar, this is used to enter web pages, server shares and other internal resources directly if you know the proper address.

Files

This section will allow you to access Windows and Unix shares. We have populated a bookmark for the SBUMC Home Directories. If you have a home directory, this will connect you directly to it. In a further section, we will discuss adding your own bookmarks.

Terminal Sessions

This section will allow you to Telnet, SSH or Remote Desktop to internal SBUMC computers and resources. As there are many, there are no pre-populated bookmarks in this section. In a later section you will learn how to add your own bookmarks.

Client Application Sessions

This is used for advanced users who need direct access to the SBUMC network for applications such as pcAnywhere, TN3270 sessions, FTP, etc., and will be covered in more detail in a further section.

The last button item is titled "Java Secure Application Manager". This is to restart the smaller window that is required for many use functions and discussed in the section below.

 

C. JSAM - Java Secure Application Manager

In order for the WebVPN to perform many of its functions, it will need to open a second small window that must be kept running as shown below.

While you will in most cases not have to touch this window, it must remain active at all times. It can be Minimized using the appropriate button to the left of the "X".

 

D. Toolbar

As you click on one of the bookmarked webpages or type a webpage address into the address bar, you will notice the WebVPN page change slightly. Additionally, as shown below there will be a navigation bar that hovers over each page, initially on the top right.

This toolbar is extremely important in helping you navigate and use the VPN. As you can see from the above screenshot, there are features to return you to the homepage, bookmark the current page, provide information on how long you can stay connected to the VPN, provide help and even exit the VPN.

 

E. Adding Bookmarks

While SBUMC has provided bookmarks to many popular internal resources, you may want to add your own bookmarks. In order to do this, simply click the "+" icon to the right of the Web Bookmarks title as shown below.

You will then be presented with a window wherein you can enter a name, description and most importantly the URL or webpage. In most cases you will not need any of the Display options, so simply click the "Add Bookmark" button to continue.

You should now see your bookmark added to the bottom of the list. If at any time you wish to remove or change this bookmark, simply click the icons to the right of the bookmark to make the appropriate changes.

 

F. Working with Files

The WebVPN can allow you to access files on Windows & Unix shares. As mentioned in one of the previous sections, SBUMC has provided a link to your home directory (if you have one). You will be able to view files and directories, download files to your computer, upload files to the share and create new folders all by using the web interface.

Connecting to a Share

If you wish to access your Home Directory share, just click the link as shown below.

Alternatively, if you wish to connect to a Windows server share that is not bookmarked already, simply click the "Windows Files" link to the right of the window to connect once or click on the "+" icon above to create a permanent bookmark for future use.

You will then need to click on the domain, server and finally the share you wish to connect to as shown below. You will only be able to successfully connect to shares that you have security access to.

Using the Share

Once you have successfully connected to a share, you should now see the files and directories contained in that share as shown below.

Above you can see the different parts of the screen. The files and directories will be on the left and the functions of what you can do with them are above. In summary you can open the files simply by clicking on their link. If you wish to delete, download to your PC, upload new files or create folders you will use these buttons.

Opening or Saving Files

By clicking on the filename itself will open a dialog box that allows you to "Open" or "Save" the file to your computer. If you choose "Open," you must be sure you have the correct program to open this type of file.

Saving Multiple Files

In order to open multiple files, check the box to the left of the file names and then click the "Download" button. You will be presented with a screen similar to the one below where you will enter the name of a ZIP file (enter any name you wish). This archive will compress all your requested files into one and download to your computer. When done naming the file, simply click the "Download" button.

Depending on your security settings, you may receive a message that the web browser has blocked this download. If so, right-click on the yellow bar and click the "Download File" selection as shown below.

You will then be presented with a window to allow you to "Open" the file, which will try to open the ZIP file on the fly and give access to the files within or to "Save" the file to the local computer.

If you decided to save your ZIP file, a Save As window will pop up and allow you to choose the location where the file will be saved. After making that selection, click the Save button.

Upload Files to the Share

If you wish to save files from your computer up to the share, this can also be accomplished. Simply click on the Upload Files button on the Files menu.

You will then see a window similar to the one below. First, click the "Browse" button. Then you will use the "Choose file" window to locate and select the file you wish to upload. You do not need to enter anything in the "Save As:" box unless you want to change the name of the file. Finally, click the "Open" button.

The file will then be uploaded (time may vary with size of file) and as you see below, will be listed in the appropriate location.

 

G. Accessing Resources via Telnet, SSH and Remote Desktop

You can use the WebVPN to Telnet, SSH or Remote Desktop to internal SBUMC computers and resources. As there are many, there are no pre-populated bookmarks in this section. In order to create a connection to your favorite resource, first click on the "+" icon to the right of the "Terminal Sessions" section as shown below.

You will then be presented with the "Add Terminal Services" window. Choose the type of service you would like to connect to from the Session Type drop-down menu. The options are: Windows Terminal Service (Remote Desktop), Citrix (not used), Telnet or SSH. Then name the bookmark and give a description that you choose. Under Settings, enter the IP Address, DNS Name or NetBIOS name of the system you are trying to contact. You can then modify any settings you wish. The settings will differ slightly depending on the type of service you wish to use.

Note for Remote Desktop users: You do not need to enter any client or server port numbers unless they have been changed. You should then enter the username and/or password that is required for the resource and then click the Add button.

 

H. Network Connect

This function allows your computer to connect directly with the SBUMC network without the WebVPN being in the middle of the connection. This is only really required if you need to access services that are not working through the standard WebVPN. Some of the reasons to use the Network Connect function would be TN3270 session to SMS Envision, pcAnywhere remote control, FTP, etc.

The first time you use the Network Connect client, it will need to be installed on your computer. This will require the user account you are using to have administrative access to your computer. If your account does not have this, the install will fail.

To begin, simply locate the Client Application Sessions section on the main VPN page and click the Start button to the right of the word Network Connect as shown below.

If you have used this function before, the client will start and you will be connected to the SBUMC Network, but if this is the first time you are installing, you will now see a few screens setting up the client.

The first will be a window showing the application being installed (as shown below):

If the installation is successful, you will see an icon moved to the task bar as shown below.

This icon confirms that the connection is active. If you wish more details, simply double-click on this icon and a screen similar to the one below will open showing your assigned IP address and other pertinent information.

When you wish to exit the Network Connect function you have two options:

  1. Right-Click the Network Connect icon and click "Sign Out" or "Exit."
  2. Exit the entire WebVPN by clicking "Sign Out" on the main navigation bar (as shown below).
